HR Executive (Talent Acquisition & HR Operations)

Description

We are seeking a proactive and hands-on HR Executive to lead end-to-end talent acquisition and support core HR operations at Bandai Namco Studios Malaysia. This role plays a key part in ensuring the studio attracts, hires, and retains high-quality talent to support our game art creation projects. The successful candidate will partner closely with hiring managers, production leads, and management to drive efficient recruitment processes while maintaining compliance with Malaysian employment laws and company policies.

Requirements

  • Bachelor’s Degree in Human Resources, Business Administration, or a related field.
  • Minimum 3–5 years of HR experience, with strong exposure to recruitment and talent acquisition.
  • Experience hiring within the technology, creative, or gaming industry will be an advantage.
  • Proven experience in an HR role, with a strong understanding of HR practices and procedures.
  • Excellent communication and interpersonal skills. Good understanding of Malaysian labour laws and statutory requirements.
  • Strong stakeholder management skills with the ability to influence and advise hiring managers.
  • Ability to work collaboratively in a team environment.
  • Excellent communication skills (verbal and written).
  • Highly organised, detail-oriented, and able to manage multiple priorities.
  • Proficient in HRIS and recruitment systems.

Responsibilities

Talent Acquisition (Primary Responsibility)

  • Manage the full recruitment lifecycle from requisition approval to offer acceptance.
  • Develop and execute sourcing strategies to attract high quality candidates across creative, technical, and production roles.
  • Proactively source candidates through job portals, LinkedIn, industry network, referrals, and university partnerships.
  • Screen and assess candidates to ensure both technical suitability and cultural fit.
  • Coordinate interviews and facilitate structured evaluation processes with hiring managers.
  • Advise hiring managers on market trends, salary benchmarking, and hiring best practices.
  • Manage offers preparation, negotiation, and onboarding coordination.
  • Maintain and update recruitment data within the applicant tracking system (ATS) and ensure the hiring metrics are tracked.

Onboarding & HR Operations

  • Coordinate and conduct employee onboarding and orientation programmes.
  • Maintain accurate employee records and ensure data integrity in the HRIS (Human Resources Information System).
  • Prepare employment-related documentation (offer letters, confirmation letters, contract renewals, etc.).
  • Support probation tracking and confirmation processes.

HR Policy & Employee Support

  • Assist in the development, review, and implementation of HR policies and procedures.
  • Provide HR advisory support to employees and line managers on HR-related matters.
  • Support employee engagement initiatives and HR projects.
  • Coordinate training and development programmes when required.
